Custom Fields

AR BookGuide includes several pre-defined user fields (such as Have Book, Have RP Quiz, Have Voice, Have Test, Call Number, or Number of Copies) to help you store information about your books and quizzes.

AR BookGuide also allows you to add two Custom Fields in the Preferences tab. By adding custom fields, you are defining two columns of your own information. (These are the last two columns on the right of your list report if you chose to show Custom Fields from the Format options.) When you create your Custom Fields, you can name them, specify which values should be assigned to titles in each column, and then assign the information to the appropriate books. If you need to make changes later, you can change your Custom Fields or delete them.

By following the steps below, you can add, edit, or delete two Custom Fields so you can keep track of additional information about your books. The fields that you add will become the last two columns on the Book List Report if you chose to show Custom Fields from the Format options.

Creating Custom Fields

  1. From the AR BookGuide Home page, under Setup and Administration, click Preferences. In the Preferences tab, the names of the fields appear underneath Custom Field 1 and Custom Field 2. These are the names that will appear in the column headings in your lists.

  2. To make changes to Custom Field 1, click Edit after that field. The Edit Custom Field 1 page appears.

  3. To change the name of Custom Field 1, click Edit after Title. For example, you may want to change it to "Location." Type the new title in the text box and click Save.

  4. To add a field option to identify a book’s location, type the name in the text box, then click Add. The new option is added to the list in the Options scroll box. For example, if you named User Field 1 "Location," and your books may be in the classroom or the school library, you would add "Classroom" and then "Library."

  5. To edit an existing entry in the Options scroll box, select the entry you want to change and click Edit. Change the name and click Save.

  6. To delete an existing entry in the Options scroll box, select the entry you want to delete and click the Delete button.

  7. When you are done editing that custom field, click Done.

  8. To create the second Custom Field and its values, repeat steps 2-7 for "Custom Field 2."

Assigning Custom Fields to Titles

  1. To assign your custom fields to a particular book title, go to that title's Book Details page by clicking the book title.

  2. On the Book Details page, locate the desired custom field(s) and choose the option from the drop-down menu by clicking it.

  3. To save your changes, click Save. To return to your Active List without saving your changes, click Cancel.

  4. Repeat steps 1-3 for each title to which you want to assign custom fields.
